NIVEK Automatisation inc. is committed to protecting the personal information entrusted to it. This policy explains what we collect, why, and the rights you have under Québec's Act respecting the protection of personal information in the private sector (Law 25).

Personal information we collect

We collect only the information needed for the purposes described below. Depending on your interactions with us, this may include:

  • Identification and contact details provided through our forms: name, company, email address and telephone number.
  • The content of your requests (information requests, quote requests, support tickets, messages).
  • For job applications: your name, contact details, LinkedIn profile and, if you provide it, your résumé.
  • Appointment details when you book a call.
  • Technical data related to your browsing (see our Cookie Policy).

Purposes of the collection

We use your personal information to:

  • Respond to your requests and communicate with you.
  • Prepare and deliver our services and proposals.
  • Provide technical support and manage the client portal.
  • Process job applications.
  • Ensure the security of our website and prevent fraud and spam.
  • Comply with our legal obligations.

Client portal

Access to our client portal requires an account created by NIVEK, on invitation. When your account is created, we collect your name, your email address and, where applicable, your company. Your password is stored in hashed form only; we never have access to it.

The portal gives you access to your quotes, invoices, support tickets, training content and, where applicable, the backup copies of your systems. Sign-ins and actions performed in the portal may be logged for security purposes. This information is kept for the duration of our business relationship, then for the periods required by law.

Consent

By submitting a form or using our services, you consent to the collection and use of your information for the purposes above. You may withdraw your consent at any time by contacting the person in charge; this may, however, limit our ability to provide certain services.

Cookies and tracking technologies

Our website uses cookies. Non-essential cookies are deposited only with your consent, which you can manage through the banner shown on your first visit.

Service providers and transfers outside Québec

We do not sell your personal information. We share it only with service providers that help us operate our website and services, under confidentiality commitments. Some of these providers may store or process information outside Québec:

  • Odoo S.A. — hosting and management of the website, forms and client portal.
  • Google (reCAPTCHA) — protection of forms against spam; your IP address is transmitted to Google.
  • Microsoft — processing of the emails we exchange with you.

Before entrusting personal information to a provider outside Québec, we assess that it benefits from adequate protection.

Retention

We keep personal information only for as long as necessary to fulfill the purposes for which it was collected or to meet our legal obligations, after which it is destroyed or anonymized.

Security

We apply reasonable security measures — including encrypted (HTTPS) connections and restricted access — to protect personal information against loss, unauthorized access or disclosure.

Your rights

Under Law 25, you have the right to access and rectify your personal information, to withdraw your consent, and to request the portability of the information you provided to us. To exercise these rights, contact the person in charge identified above.

If you are dissatisfied with our response, you may file a complaint with the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).
